
Outsourcing your inbox management can add a spice in your life. It will help you to work on more important things other then just getting lost in a long list of mails in your inbox and missing few important ones.
Here is a process for delegating e-mail management from you to your Virtual Assistant.
I would suggest you to use labels/folders to manage your inbox. Following is a process for e-mail management using google mail and apps but you can modify them according to your needs.
You can either give your VA access to your inbox or start forwarding your e-mail to him and following will be the line of action for your VA.
• Process all Social network groups/friends/family add or join request. (i.e. you are having a LinkedIn group you can ask your VA to process all join group requests)
• Process all website support requests (if you are having a VA for your website management).
• Process all schedule or reschedule requests according to the calendar and notify clients/colleagues.
• Label all processed mail as archive
• Label all newsletters and sales letters accordingly and archive.
• Delete all spam mails.
• For all messages that require an action from me, star the message and archive it, then enter an appropriate task in my (toddle do/remember the milk/google) to do list.
• Give me a brief summary of all mail specially the important ones which I have to take action first.
